Our recruitment approach

Slow enrollment is a common cause of delays in early phase studies, so we treat recruitment as a core part of study execution. Our dedicated recruitment team leverages a cloud-based call center, a robust volunteer database and targeted multimedia advertising to identify and enroll study volunteers quickly. Retention is the other critical component to keeping study milestones on track. A high-level of customer service and an array of luxurious amenities keep volunteers engaged through the confinement periods early phase studies require. The unit features a sports-themed dining room with plush seating and nine large-screen TVs, a gaming room, a VIP lounge with floor-to-ceiling windows and spacious seating and private rooms for phone and video calls. Keeping volunteers retained in a study protects both the timeline and the integrity of the dataset.

Our recruitment center is supported by integrated technology, including a cloud-based call center, multiple volunteer communication platforms and an extensive volunteer database that enables our team to quickly match eligible volunteers to each protocol. Every volunteer is screened through VCT biometric fingerprint scanning, giving sponsors confidence that individuals are not enrolled in overlapping studies.

Recruitment is seamlessly integrated with our broader early phase infrastructure, including our dedicated Clinical Pharmacology Unit with deep experience recruiting both healthy normal volunteers (HNVs) and specialized patient populations. From substance use disorders and addiction to cardiometabolic and obesity our team leverages established databases, referral networks and operational expertise to support enrollment across a wide range of study requirements.

Featured study

Challenge

A study required the enrollment of over 200 study volunteers within one week. This rapid recruitment required a large team of 14 recruiters to accomplish this impressive task.  This accelerated randomization timeframe created significant pressure on recruitment, screening and scheduling activities. Success depended on the ability to rapidly identify eligible participants while maintaining study quality and operational efficiency. 

Approach

Following receipt of IRB approval, we launched recruitment activities, resulting in the scheduling of more than 300 screening visits within a two-week timeframe. Through proactive outreach, coordinated scheduling and close collaboration across study teams, we rapidly built a robust pipeline of eligible participants for enrollment.

Outcome

All participants were screened and enrolled within the required timeline, allowing the study to remain on track without delays. The successful execution demonstrated our ability to deliver rapid enrollment for studies with demanding recruitment timelines.
